This statement is written to give information to individuals who interact with the European Society of Veterinary Neurology (hereinafter ESVN) and the European College of Veterinary Neurology (hereinafter ECVN or College).
The European Society of Veterinary Neurology (ESVN) was founded in 1987 and serves as a forum for persons interested in all aspects of the nervous system of animals, promotes training programs in veterinary neurology and provides an opportunity for collaborative clinical research throughout Europe.
It is a requirement for all ECVN approved residents to be a member of the ESVN for the duration of their residency.
The European College of Veterinary Neurology is a non-profit organization registered in Germany. The College is a part of the general scheme for veterinary education in the European Union (EU), which is co-ordinated by the European Coordinating Committee on Veterinary Training (ECCVT) and includes the Federation of Veterinarians in Europe (FVE), The European Association of Establishments for Veterinary Education (EAEVE), and the European Board of Veterinary Specialisation (EBVS). Specialty Colleges are members of the EBVS.
Both, ESVN and ECVN respect your privacy and are committed to protecting the confidentiality of your personal information. This policy explains how ESVN and ECVN collect and use information provided by individuals, and how they protect their privacy. This information regarding ESVN/ECVN Privacy Policy is given in accordance with the General Data Protection Regulation coming into force on 25th May 2018.
Terminology
According to the Art. 4 of GDPR (19.05.2018: https://gdpr-info.eu/art-4-gdpr) following definitions apply:
- ‘personal data’ means any information relating to an identified or identifiable natural person (‘data subject’); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person;
- ‘processing’ means any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction;
- ‘restriction of processing’ means the marking of stored personal data with the aim of limiting their processing in the future;
- ‘profiling’ means any form of automated processing of personal data consisting of the use of personal data to evaluate certain personal aspects relating to a natural person, in particular to analyse or predict aspects concerning that natural person’s performance at work, economic situation, health, personal preferences, interests, reliability, behaviour, location or movements;
- ‘pseudonymisation’ means the processing of personal data in such a manner that the personal data can no longer be attributed to a specific data subject without the use of additional information, provided that such additional information is kept separately and is subject to technical and organisational measures to ensure that the personal data are not attributed to an identified or identifiable natural person;
- ‘filing system’ means any structured set of personal data which are accessible according to specific criteria, whether centralised, decentralised or dispersed on a functional or geographical basis;
- ‘controller’ means the natural or legal person, public authority, agency or other body which, alone or jointly with others, determines the purposes and means of the processing of personal data; where the purposes and means of such processing are determined by Union or Member State law, the controller or the specific criteria for its nomination may be provided for by Union or Member State law;
- ‘processor’ means a natural or legal person, public authority, agency or other body which processes personal data on behalf of the controller;
- ‘recipient’ means a natural or legal person, public authority, agency or another body, to which the personal data are disclosed, whether a third party or not. However, public authorities which may receive personal data in the framework of a particular inquiry in accordance with Union or Member State law shall not be regarded as recipients; the processing of those data by those public authorities shall be in compliance with the applicable data protection rules according to the purposes of the processing;
- ‘third party’ means a natural or legal person, public authority, agency or body other than the data subject, controller, processor and persons who, under the direct authority of the controller or processor, are authorised to process personal data;
- ‘consent’ of the data subject means any freely given, specific, informed and unambiguous indication of the data subject’s wishes by which he or she, by a statement or by a clear affirmative action, signifies agreement to the processing of personal data.
Data Controller
The data controller concerning this information note are jointly ESVN and ECVN.
Data Processor
“Data processor” are the designated officers of the ESVN and ECVN who process your data, as well as ECVN administrative support and the webmaster of this website. Users intending to object to the processing of data for legitimate reasons must notify European Society of Veterinary Neurology and European College of Veterinary Neurology in writing to support@ecvn.org.
How the data is treated?
All data will be processed in compliance with the principles of correctness, lawfulness and transparency, protecting confidentiality as required the GDPR. Specific summary information will be progressively provided or displayed in the relative website pages for specific services available on request.
To protect your information, the ESVN/ECVN use an industry standard security protocol called Secure Sockets Layer (SSL) to encrypt the transmission of sensitive information between you and our website.
Data is treated exclusively for institutional purposes using computerised instruments and for the length of time strictly necessary to achieve the objective for which it is collected. ESVN and ECVN, in their capacity as data controller, inform that, by entering personal information on the website, by authentication to the ESVN/ECVN's web services, or by submitting any enquiries to ESVN/ECVN via e-mail, contact, application and registration forms, via fax, phone or other media, the data relating to identified or identifiable persons will be processed.
The personal information ESVN and ECVN collect might include:
- your name, address, e-mail address, phone number, fax number;
- your picture(s), data related to your professional qualifications including cv, your diplomas, titles, scientific publications, participation in related events, engagement in ESVN/ECVN activities or activities within other professional institutions;
- your date of birth, country of origin, gender;
- IP address, and information regarding what pages are accessed and when;
- financial records such as your payments, bank details, means used for transactions.

The purpose and legal basis for processing your personal data
The above listed information may be requested as long as it is necessary or relevant for specific activities such as education programme evaluation, accreditation and reaccreditation of members, abstract submissions, examination, issuing certificates and receipts, or other listed in ESVN and ECVN Constitution and By-laws.
In addition, the ESVN and ECVN wish to inform that following features might be applied to streamline, validate or ensure secure usage of the website.

- for legitimate reasons, to the handling of his/her personal data, despite the fact it is relevant to the purpose of the collection;
- to the treatment of his/her personal data for the purpose of sending advertising material or direct sales or to its use for market research or commercial purposes.
How long personal information is kept
Personal information supplied by individuals for transactions with ESVN/ECVN: As a general rule, personal information is kept for 10 years as from the moment of transacting with ESVN/ECVN.
This limit does not apply to ESVN/ECVN Committee Members, whose personal information is kept for indefinitely.
